Most businesses budget the move and forget the exit. Make good is the obligation in your lease to hand the premises back in a set condition, and it usually costs more than the relocation itself. Partitions, joinery, signage, data cabling and specialty lighting out, patching and repainting, services capped, then a deep clean.

Your bank guarantee stays put until the landlord inspects and passes it. Start six to twelve months out, not in the final month, and read what your lease actually specifies rather than assuming base building. We quote the clear-out and disposal. The build side is a fitout contractor and the lease is a lawyer.

How much does an office move cost?
On crew hours or per workstation, not per square metre. Square metre rates belong to fitout and defit, different trades entirely. The most useful number to bring us is the desk count rather than the headcount, since hot desking makes those two very different. We survey both sites free first, because building access moves the figure more than volume does.
How far ahead should we book?
Two different questions get answered as one. Booking the removalist is four to eight weeks for most jobs. Running the relocation is a far longer project, and with a lease decision, a fitout and a make good obligation attached, twelve months out is not early. If you do one thing today, read the make good clause in your lease.
Can you move us over a weekend or after hours?
Yes, and for commercial work it is the default rather than an option, since most buildings will not allow a move during trading hours anyway. A small to medium office runs across one weekend, staff packing their desks Friday and logging on Monday. Larger jobs phase over several weekends by floor or department.
Who handles the IT, you or our IT provider?
Split, and it has to be agreed in writing rather than assumed. We do the physical side: shutdown at the desk, cables bagged and numbered to the machine, wrapping, crating, transport, and each unit back on the right desk. Your IT provider does the logical side: servers and network, the phone cutover, and testing before anyone sits down. The jobs that go wrong are the ones where each party assumed the other had the comms rack.
Do you supply crates?
Yes, hired rather than sold. Lockable plastic crates on skates so nobody lifts, stackable, nesting flat when empty. Delivered days ahead with labelling instructions so staff pack their own desks on work time, collected once you have unpacked. Tell us the desk count and we work out the numbers.
Does our building need a certificate of currency from you?
Almost certainly, and most building managers will not release dock or lift access without one. We provide it on request. Ask your building manager what minimum public liability sum they require and tell us before you compare quotes, because large towers can set that bar above a standard policy. Better found now than at the security desk on the night.
How do you handle confidential records?
Sealed crates with security tab closures, a documented chain of custody, and steel-sided file trolleys packed in reverse order so the first file out is the first back on the shelf. Records crates are counted and signed at both ends rather than lumped in with general stock. If something should not travel on a truck at all, say so at the survey.
We are a government agency, does that change anything?
It changes how records are handled. Part 9 of the Information Act places duties on Territory public sector organisations to keep full and accurate records and to safeguard their custody and preservation, with offence provisions for inappropriate alteration, damage or disposal. Nothing in that law is written about removalists, but the duty does not pause because the files are in a truck. In practice: sealed numbered crates, a signed manifest at both ends, and disposal only against your own approved schedule, never our judgement.
Do you dismantle and reassemble the workstations?
Yes for existing workstations being relocated. New furniture is the fitout contractor, since it carries its own warranty and install spec. One honest warning on modular systems furniture: older screen and beam systems do not always go back to their original configuration in a new floor plate, and Sunday night is the worst time to discover it. Flag the brand at the survey.
What is make good and are we liable for it?
It is the obligation in your lease to hand the premises back in a specified condition, and yes, you are almost always liable. It is contractual rather than statutory, so what you owe is whatever your lease says, which might be base building, condition at commencement, or a cash settlement. Typical scope is partitions, joinery, signage, cabling and specialty lighting out, patching, repainting, services capped, deep clean. Your bank guarantee stays with the landlord until an inspection passes. Get the clause read by a lawyer, six to twelve months out.
Who is liable if something is damaged?
Two separate things. Public liability covers damage to the building, a scraped lift car or a gouged foyer wall, and that is what your building manager cares about. Transit cover is what covers your own equipment. Ours is $1M public liability and transit. The industry-wide exclusion worth knowing is that cartons packed by your own staff are treated differently from crates packed by the crew, which is an argument for us doing the records and fragile gear.
Can you store things between leases?
Yes, and it is common enough that we build it into plans by default. Fitouts slip and the date you must be out rarely moves to match. Goods are collected on the last day, held in sealed modules billed monthly, and redelivered once the new site is signed off. It also lets you hand the tenancy back on time and start make good rather than paying holdover rent.
How much downtime should we plan for?
For a small to medium office over a weekend, plan on non-operational from Friday afternoon to Monday morning, plus a week or two of snagging where somebody cannot find a monitor stand. Larger phased moves stretch over several weekends but keep most of the business trading. The IT cutover is the real constraint, so lock that date first and build around it.
When is the best time of year to move an office in Darwin?
The dry, roughly May to October, for the same reason everything else happens then. Darwin averages over seventeen hundred millimetres of rain a year and January alone brings more than four hundred, which makes open dock transfers a real risk to paper and electronics. If the lease says February, that is fine and we plan covered transfers and more contingency. It just should not be the month you choose voluntarily.
What about cyclone season and our records?
Cyclone season runs from the first of November to the end of April and the Top End typically sees two or three a year. Official business guidance covers backing up data and securing the building, which is right as far as it goes, but says almost nothing about paper. If your records sit at ground level in a building you are unsure about, moving them into sealed storage before the season is the sensible version. During an actual watch or warning, follow emergency services direction rather than booking a truck.
What happens to the furniture we are not taking?
It comes out as part of the defit rather than being left for the landlord to bill you for. Anything serviceable is offered on for reuse, e-waste goes into the right stream rather than general waste, and the rest is tipped at a licensed facility with a receipt for your make good file. Clearing it properly is usually cheaper than what a landlord charges to do it for you.
